Sometimes you may want to alert a specific user of content on a specific page in your workspace.  In the past, you would have to manually construct an email with a link, but PBworks has included the "Share this file" feature which streamlines this process for you.

 

Limitations

You will only be able to share a file with a user if they also have access to the file.  If you add a user that does not have access to a file, you will be prompted to add them to the security list of the page or workspace, or if you can't grant access, you will not be able to use the share function until that user without access is removed.

 

Sharing with Users

  1. Click the "Share" link, which looks like an envelope icon:


     

  2. You'll be presented with a form that you can use to send the link.  In the "To:" field, type the name of the user you wish to contact.

    As you start typing, a list of users names will appear below.  This list comes from the Users' list of the workspace.  Once you see the name of the person you want to send the message to, click on it, and then type your message in the optional message box:



    Tip:  If you expect feedback on a page, you can also use this dialog box to "star" the page.  This will mark the page as important for you, and you'll be notified of changes via email (as long as you have that enabled in your Notifications settings).

  3. If you're an Administrator on the space, and you add a user that does not have permission to view the page, you can add them to the users listing of the workspace through the Share dialog.  If you add a new email address (or an existing user that does not have permission to view the page you're sharing), you'll be prompted to add the user to either the specific page, or the entire workspace:



    Tip:  If you're unsure what to choose, choose to grant them permission to just view the page.  This adds the user to the workspace's users list as "Page Level Only", which is the most restrictive permission level and just grants them access to the page.  You must enable access to the page for a user in order to share the page with them.

    If you're not Administrator on the space, and you add a user that does not have access to the page, then the user name will show in red.  This disables the "Share" button, and it is not possible for you to share the page with the user.  Only Administrators can change the security of a page, file or workspace to allow access.



  4. Click "Send notification" to send the message.
